Your privacy is very important. This policy explains how I, Jemma Ham (trading as Therapy Without the Filter), collect, store, and use personal information in line with the Data Protection Act 2018 and UK GDPR.

 

Information I Collect -

Contact details: name, phone number, email address, postal address 

Background information: date of birth, GP details, emergency contact 

Health/therapy information: details you share that are relevant to our work,

brief session notes - Payment details: bank transfer records or invoices (no card details stored directly by me) 

Website usage data: cookies and analytics, which are anonymised and non-identifiable

 

Why I Collect This Information -

Providing safe, effective counselling - Managing appointments, communication, and invoices - Fulfilling legal, regulatory, and insurance obligations - Safeguarding you or others in cases of serious risk - Improving website experience through basic analytics Confidentiality & Sharing Everything you share in counselling is confidential.

 

Information may only be shared if: 

You give explicit consent (e.g., liaison with your GP or another professional) - There is a risk of serious harm to you or someone else - Disclosure is required by law or a court order - In professional supervision, where client information is discussed anonymously to ensure safe practice Where possible, I will discuss this with you before sharing.

 

How Your Information Is Stored -

Paper records: kept securely in a locked cabinet 

Digital records: stored on encrypted, password-protected devices 

Emails: stored securely and deleted when no longer needed

Anonymisation: session notes are kept separately from identifiable contact details

 

Data Retention -

Counselling records: retained for 7 years after your last session, then securely destroyed

Enquirers (no counselling started): kept for up to 6 months, then deleted 

Financial records: kept for 6 years, in line with tax law

 

Your Rights -

You have rights under UK GDPR, including:

Accessing the information I hold about you 

Requesting corrections to inaccurate data

Requesting erasure of your data (where possible)

Restricting or objecting to how your data is used

Receiving your data in a portable format.
